The Ventanix Portal is a full-featured SaaS platform built to centralize client communication, asset management, and project tracking for a growing creative agency. What began as an internal need quickly evolved into a robust, production-grade application that handles every aspect of the client lifecycle — from onboarding and project scoping to final asset delivery and ongoing support.
The Challenge
Before the portal existed, client management relied on a patchwork of spreadsheets, email chains, and file-sharing links scattered across multiple platforms. Project status updates were manual, asset requests got lost in inbox threads, and generating accurate quotes required hours of back-and-forth. The team needed a single source of truth that could scale with the business.
The Solution
We designed and built a comprehensive client management platform from the ground up. The portal features a digital asset management (DAM) system with drag-and-drop uploads, folder organization, and instant preview for over 30 file types. Real-time project dashboards give both the internal team and clients full visibility into timelines, milestones, and deliverables without a single status email.
The automated quote generation system allows the team to build detailed proposals with line-item pricing, optional add-ons, and e-signature support — cutting proposal turnaround from days to minutes. Integrated analytics track client engagement, project profitability, and resource allocation across the entire portfolio.
Technical Architecture
The platform is built on Next.js with server-side rendering for blazing performance and SEO-friendly public pages. Supabase powers the real-time database operations, authentication, and row-level security, ensuring each client sees only their own data. The application is deployed on Vercel’s edge network, delivering sub-100ms response times globally. TypeScript is used throughout the codebase for type safety and developer productivity.
