How We Redesigned Our Portal to Boost Client Productivity by 40%

The Problem: Scattered Communication, Lost Files, Slow Approvals

Before we built the Ventanix Portal, our client communication looked like every other agency’s: a patchwork of email threads, shared Google Drives, Slack messages, and spreadsheets. Files got lost in email chains. Approval cycles stretched from days to weeks. Clients had no visibility into project status without asking — and we had no centralized way to track what everyone needed.

We weren’t just frustrated. We were losing time that could have been spent on creative work. So we decided to build the solution ourselves.

The Vision: One Platform for Everything

We wanted a single platform where clients could:

  • See every project’s status at a glance
  • Access, upload, and organize all their brand assets
  • Request quotes and approve proposals with electronic signatures
  • Track analytics and performance metrics
  • Communicate with our team without switching between tools

And we wanted it to feel premium — matching the quality of the work we do for our clients.

The Tech Stack: Modern, Fast, Scalable

We chose a modern stack built for performance and developer experience:

  • Next.js for the frontend — server-side rendering for blazing initial loads, React for dynamic interactivity, and App Router for clean, maintainable code
  • Supabase for the backend — PostgreSQL database with real-time subscriptions, built-in auth, and row-level security. No separate API server needed.
  • Vercel for hosting — edge deployment across 30+ global regions, automatic SSL, preview deployments for every commit
  • TypeScript throughout — catching bugs before they reach production

Key Features We Built

Digital Asset Management (DAM)

Clients upload files via drag-and-drop. Everything is automatically organized by project, tagged by type (logo, photo, document), and version-controlled. No more “FinalFinal_v3.pdf” naming conventions. Every asset has a permanent, shareable link.

Project Dashboards

Real-time project tracking with status indicators, milestone timelines, and activity feeds. Clients see exactly where their project stands without sending a single email asking for an update.

Quote Generation with E-Signatures

We built a quote system that generates professional proposals from templates, sends them via tokenized links, and captures legally binding electronic signatures. What used to take 3-5 days of back-and-forth now happens in hours.

Integrated Analytics

For clients with websites we manage, the portal surfaces key metrics — traffic, conversions, page performance — in a clean dashboard. No need to learn Google Analytics or request reports from us.

WordPress Integration

Since many of our client websites run on WordPress, we built deep integration between the portal and WordPress:

  • Heartbeat sync: The portal knows when a WordPress site is healthy, when plugins need updating, and when content changes
  • Auto-login: Clients click “Edit Site” in the portal and land directly in their WordPress admin — no separate credentials needed
  • Page builder: A visual page editor in the portal that pushes changes directly to WordPress via our custom REST API

The Results

After rolling out the portal to all active clients:

  • 40% faster project turnaround — approvals that took days now take hours
  • Zero lost files — everything lives in the DAM with version history

What We Learned

Building a SaaS product while running an agency is challenging, but the investment paid off many times over. The key lessons:

  • Ship early, iterate fast — our first version was basic, but it was live and collecting feedback
  • Make it beautiful — internal tools don’t have to be ugly. Premium UX earns trust.
